This is for the school with an active SMT, HODs who want grade-level oversight, and a principal who needs to report to the SGB and possibly the District with evidence. They don't just want tracking; they want the reporting, the accountability loop, and the parent communication layer that turns data into culture change.

  • Minimum commitment of two full terms required to see results.
  • Cancel anytime after the second term with 30 days' notice.
  • Initial Setup Fee: Monthly Core & Pro billing packages: R3,500 once off. 
  • Thereafter, an Annual Reconfiguration Fee (January)* of R1,500 for Monthly Core and Pro Packages.

Each term, your Core/Pro subscription includes Data Maintenance*. Your school gets 4 (Core), or 8 (Pro) data update / support requests at no extra charge. Need more? Additional requests are R200 each - most schools never need them.

* DATA MAINTENANCE

Every school gets a set number of data maintenance / change requests per term included in their package.

A "data maintenance / change request" is a single email or form submission that lists the changes needed. For example a single email listing 8 surname changes, counts as one request. One email adding 3 new learners counts as one request. This rewards schools that batch their changes sensibly instead of drip-feeding one change at a time.

Core: 4 data change requests per term included.

Pro: 8 data change requests per term included.

Additional change requests beyond the allowance: R200 per request.

What Counts as a Data Change Request

Spell this out clearly, either on the pricing page FAQ or in your onboarding documentation:

A data change request is a single communication (email or form) that includes any combination of: adding new learners, removing learners who have left, updating surnames or parent details, changing teacher assignments or email addresses, updating HOD or Grade Leader information.

There's no limit to how many individual changes can be in one request. This encourages schools to send one consolidated update rather than multiple separate emails.

What Does NOT Count as a Data Change Request

Beginning-of-year setup (new term configuration, new class lists). This is covered by the annual setup process, not the change allowance. If it's start-of-year, it's setup, not maintenance.

System support questions ("How do I run a report?", "My form isn't working") - this is support, handled separately.

Support = KISS Principle

For support, we don't meter it by the minute. It creates anxiety and makes schools hesitant to ask for help, which means they'll use the system badly, get poor results, and churn.

Instead, we offer:

Core: Email support, 24-hour response time.

Pro: Priority email support, 12-hour response time.

No minute limits. If a school is genuinely abusing support (sending 10 emails a week about things covered in the documentation), we'll handle it conversationally, not contractually, and refer your staff back to the KISS-principle 😉
